Subbie File privacy notice

Last updated 26 October 2026. Subbie File is supplied by Ryan Newstead trading as Ryan Newstead Apps, ABN 14 673 141 101. Contact support@supportagentlab.com.au.

Information we handle

We store account details and business name, subcontractor contact details you enter, client site names and addresses, document requirements, uploaded files, expiry dates, review statuses, and records of upload requests and reminder emails. Payment details are handled by Stripe; Subbie File stores Stripe customer and subscription identifiers, not full card numbers.

Use the service only for information you are authorised to provide. Tell subcontractors that you are collecting their documents and ensure you have an appropriate basis to do so. Do not upload identity documents, payment credentials, health information, or unrelated sensitive personal information.

How information is used and shared

We use this information to provide the workspace, store and return documents, send document request and expiry reminder emails, process subscriptions, secure the service, and respond to support requests. The application and PostgreSQL database run on Oracle Cloud infrastructure in Sydney. Backups are stored in a private Sydney Object Storage bucket. Stripe handles payments and Postmark sends transactional email. Providers and their subprocessors may process information outside Australia; we do not claim all processing stays in Australia.

Upload links are single-use, time-limited links. Anyone holding an active link can submit the requested document. Workspace users can download documents and evidence packs. Evidence packs include records configured for a site; you control who receives them.

Security and retention

We use authenticated workspace access, private database storage, HTTPS, upload-link expiry, and file type and size checks. No internet service can promise absolute security. Workspace data remains in the active database until you delete it. When a workspace is deleted, its active records and documents are removed. Database backups may retain deleted data for up to 45 days before lifecycle deletion, with actual removal dependent on the storage provider's processing. Billing and accounting records may be retained as required for legal and operational purposes.

Your choices and privacy requests

You can export workspace records and documents or delete the workspace in its settings, subject to account and subscription restrictions shown in the product. For access, correction, deletion, or a privacy concern, email support@supportagentlab.com.au. If you are dissatisfied with our response, you may contact the Office of the Australian Information Commissioner.
